Ref       Lease Expiration and Renewal for ___________

Dear:

It is a pleasure having you as a tenant and we hope you are enjoying your home.  The term of your current lease will expire soon and we would like to renew your lease for another year.

As with everything, the costs of owning and managing your home have gone up over the past year, basically due to increased taxes and insurance fees.  We value you as a customer and want to keep your rent increase as low as possible so we can continue our relationship.

Therefore, we are offering several different lease terms to accommodate your personal needs.  Please choose the lease term that would best fit your situation:

Month to Month Term – $XXX/month

This would extend your lease on a monthly basis with no set termination date.  If you decide to cancel your lease at any time, just give us 30 days notice and the lease will terminate.  All leases terminate at the end of a calendar month.

Six Month Lease Term – $XXX/month

This is a shorter term lease than our normal one year term, and allows for you to plan a future move into a new home our possibly one of our other rentals.

One Year Term (Best Value!) – $XXX/month

This is our standard lease term and the best value.

Please choose one of the above options and let us know you choice in writing within 10 days so we can complete your paperwork.  If we do not receive your confirmation, we will extend your lease on the month to month term at the rates as described above.

Thank you very much and if you have any questions please do not hesitate to call.  We look forward to continuing our relationship.

Sincerely,

Frequently Asked Questions

What is a lease expiration and renewal letter?

A lease expiration and renewal letter is a formal communication from a landlord to a tenant regarding the upcoming end of a lease term and the offer to renew. It typically expresses appreciation for the tenant, explains any rent increase, and presents renewal options. The sample letter in the article serves as a template for such correspondence.

Why do landlords send lease renewal letters?

Landlords send lease renewal letters to inform tenants that their current lease is expiring and to offer renewal terms. This helps maintain occupancy and allows landlords to adjust rent based on increased costs such as taxes and insurance. The letter also serves to formalize the renewal process and ensure both parties agree to the new terms.

What should be included in a lease renewal letter?

A lease renewal letter should include a friendly greeting, a notice that the lease is expiring, an offer to renew, an explanation for any rent increase, and a list of available lease terms. It should also specify the rent amount for each option and any conditions, such as notice periods for termination. The sample letter in the article includes these elements.

What are common lease renewal options?

Common lease renewal options include month-to-month terms and fixed-term leases, such as six-month or one-year agreements. The article mentions a month-to-month term and a six-month lease term as alternatives to the standard one-year lease. Each option may have different rent amounts and termination conditions.

How much notice is required to terminate a month-to-month lease?

According to the sample letter, a month-to-month lease can be terminated by giving 30 days notice. The letter states that all leases terminate at the end of a calendar month. This means the tenant must provide notice at least 30 days before the desired end date, which should align with the end of a month.

Can a landlord increase rent when renewing a lease?

Yes, a landlord can increase rent upon lease renewal, often due to increased costs such as taxes and insurance. The sample letter indicates that the landlord aims to keep the increase as low as possible while still covering rising expenses. The new rent amount is specified for each renewal option.

What is a month-to-month lease term?

A month-to-month lease term is a rental agreement that extends on a monthly basis with no set termination date. It can be canceled at any time with 30 days notice, and all leases terminate at the end of a calendar month. This option provides flexibility for tenants who may need to move soon.

What is a six-month lease term?

A six-month lease term is a shorter fixed-term lease than the standard one-year lease. It allows tenants to plan a future move within a shorter timeframe. The sample letter offers this option as an alternative to the month-to-month and one-year terms.

How should a tenant respond to a lease renewal letter?

A tenant should review the offered lease terms and choose the option that best fits their situation. They should then respond to the landlord by the specified deadline, indicating their choice. If they have questions or need clarification, they should contact the landlord promptly.

What happens if a tenant does not renew the lease?

If a tenant does not renew the lease, they must vacate the property by the end of the lease term, unless other arrangements are made. The sample letter does not specify consequences for non-renewal, but typically the lease expires, and the tenant must move out. It is important to communicate with the landlord about intentions.
